Overview

This module gives you an overview of the current status of your project. You can see at a glance if you are still in budget, how many hours your employees still need to complete the task and what the total progress of the project is.

How to work with this module?

This module is subdivided into three sections. This ensures that you can keep a detailed overview over the entire project. A project tree for the entire project, including all sub-projects and emplyees can be found on the left. The „Budget“ column shows you if this project including the sub-projects is still in budget. In the middle section called "Overall" you see the sums of all displayed values. On the left side called "Project Level" you get a more detailed view of the current status of the projects, including real-time data coming from employee bookings. Especially helpful is the ETC (Estimate-to-Complete) of the employee for a specific task. The ETC helps you to evaluate your projects in a more accurate and realistic manner to identify potential problems before they occur.

With our seamless integration of all proRM modules in CRM, you can access personal search views that you have created. This is especially useful when searching for a specific project. See more information under "CRM" in our wiki.

How to check if you are still in budget

You can see if your projects are still in the budget in the „Budget“ column. With the commonly known traffic light colors you can see immediately if your problems are in budget or if you are running into budget problems.

How to check if you are still in budget with your subprojects ?

When you look at the “ Budget” in the project details section you can check whether all of your subproject are in budget. Subprojects can compensate each other´s budget. This means that there is the possibility that one or more subprojects are out of budget (red) but the main project is still in budget (green) if there is enough buffer in the total budget of all subprojects together.

Why some fields are highlighted yellow ?

The fields that are highlighted yellow are changeable. For instance, if you have an initial planning of 10 hours for an employee to work on a particular project and the employee assumes in his/her booking by entering the ETC that it will take five more hours, you can change the field directly in the Controlling Module from 10 to 15h.

How can I change the view?

There are a lot of options to change the view in this Module. You can show or hide specific sections or filter the viewed projects. Below all possible view options are described.

What does "displaymode" mean?

You can change in this section if you like to see all projects of this account or only youre projects (you have to be the projectmanager to see them).

Simple/detailed view

As the name says, you can see here in the simple view if you are everywhere in budget. The simple view is the default view. If you want to see detailed information to your project, remove the hook in the "simple/detailed view" box.

Projectphase filter

You can filter your projects in a way, that only projects in a specific phase are displayed. By default it is "In Progress", but you can choose every availible projectphase you like. Therefore it is also possible to view archived projects.

Show/hide the Overall section

You can show or hide the "Overall" section if you remove the hook in the "Overall" box.

You can show or hide the "Project Level" section when you remove the hook in the "Project Level" box. This sections shows you detailed Information to every employee who is assigned to this project. For detailed information look below.

Show/hiede employees

If you want to show or hiede the assigned employees remove the hook in the box called "Assignments".

Full Screen Mode

To activate the full screen mode click the icon “full screen” with the arrows outward. It is located in close proximity to the help button.

Definition of all columns

This Module can give you a detailed overview of your projects. Therefore there is a lot of data. This definition section will describe every column and its meaning.

What does „Total Estimation for Project“ mean?

This is the sum of ALL estimated hours for the project. This value is specified by the project manager when creating the project.

What does „Total ETC for Project“ mean?

This is the estimated sum of ALL estimated hours of the employee for ALL activities in the project, in other word the total estimate to complete the whole project.

What does “Total Bookings for Projects” mean?

The sum of ALL hours booked on the project by the employees.

What does „Project Budget“ mean?

Here you can see if the selected project is still in the budget. This may differ from the “Overall Budget”, see “How to check if you are still in the budget” with your sub-projects.

What does „Total Estimation for Assigments” mean?

This is the total estimated hours needed to finish the project including all assignments.

What does „Estimation for Assignment” mean?

Here you can see how many hours the project manager estimated for each assignment.

What is „ETC ”?

ETC stands for Estimate-to-Complete. Here you can see how many hours each employee planned to complete the task.

What does „Total Employee Bookings” mean?

Here you can see how much time each employee has already booked on the project (and sub-projects).

What does „Employee Bookings” mean?

Here you can see the actual booked hours of each employee.

What does „Completion” mean?

This is the Progress status of the Project in percent. This can be calculated by dividing the booked time of the employee by the estimated hours, times 100. In short, how much time has been estimated for the task, how much time has been invested by the employee and the estimation to complete the task.

Full Screen Mode and New Tab

To activate the full screen mode click the icon Full Screen with the arrows outward. It is located in close proximity to the help button. Right beside it there is another Symbol with a diagonal arrow. This Icon will open the Project Controlling in a new Tab.

Be Careful: When you open the app in a new tab, it loads a blank Module, without the projects that you selected earlier. For the full screen mode, this isn't the case
